Communication:

It is a condition of booking accommodation with Holland House that guests must be contactable within a 24 hour period by either text (mobile phone) or message (email). This is to ensure that we have the ability to inform guests of any circumstance that may impact on their booking. We reserve the right to cancel bookings without compensation where a guest has failed to respond to a text or email message within 24 hours of the first effort of the host to make contact.

This Privacy Notice only governs the use of Holland House services that specifically link to this Privacy Notice.

Personal data we collect about you when you use our services

When you use our services we may collect personal data from you including but not limited to:

  • Name, email, phone number, home address and company details. 

We collect personal information from third parties via usage data, including but not limited to:

  • Your email, address and other personal data collected about you may be forwarded to the Company by a third-party website when you request for us to contact you through such a third-party website
  • Additional personal information may be forwarded to the Company from a third party in combination with personal information we collect through your use of our services. This is in order to enhance our services to focus particular content we provide and to offer various offers and opportunities available to purchase products or services that we feel may be of interest to you based upon the analytical information we have collected.
  • We will apply the terms of our Privacy Notice and Data Protection Policies to any personal data we receive from third parties unless we have disclosed to you otherwise. the Company is not responsible for third parties’ distribution of your personal data.

We may use your personal data for the following purposes, as permitted by data protection regulations and legislation:

  • Purchases: We may use received contact information and received payment information to process and fulfil purchases you make through our offered services.
  • Customer Service: We may use your received contact information to respond to any questions you ask us about our products and services and to communicate with you generally about offers competitions surveys or sweepstakes. Personal data shared with third parties

We will only ever share personal data with companies, organisations and individuals outside of Holland House as explained below.

Recipients within Holland House and Third Parties. We may share your personal data with affiliates of Holland House and other companies worldwide, including unaffiliated agents, suppliers or manufacturers, in order for these companies to contact you about relevant products, services or other offers that may be of interest to you. We may also share your personal data with relevant business partners.

Subject to the categories of personal data and the reasons for the collection of personal data, your data may be shared with and provided to various entities within our internal departments. For example, IT, marketing and sales departments may have access to your data, depending upon product orders. Other departments, such as finance, auditing, legal and compliance may require access to certain personal data, albeit on a “need to know” basis.

This Privacy Notice does not oversee unaffiliated third-party websites or any other website that does not link back to this Privacy Notice.

Service Providers. We share personal data with both affiliated and unaffiliated companies. These companies perform certain tasks on our behalf related to our business. These service providers include, but not limited to:

  • Payment Processing
  • Electronic and postal mail services

Any third-party service providers we use will receive your personal data only as necessary to perform their role and are instructed not to use your personal data for any other purposes.

Customer information normally is a part of a business asset to be transferred but remains subject to any pre-existing applicable Privacy Notice.

We may share aggregated data that has been anonymised (data that is not identified) with third parties – for example, publishers, advertisers or associated websites and, accordingly, this data will be publicly available. An example of when we may do this is when we wish to share information publicly to show trends about the use of our services or products.

 

Links to Social Networking and other Third-Party Websites

Our services contain links to social networking websites and other third-party mobile applications. These are operated and controlled by third parties. While we endeavour to link to reputable websites that equally share our high data privacy standards, we cannot take responsibility for any content or privacy practices deployed by these third party websites. Any personal data you provide to such third-party websites will be collected by that third party and not by Holland House and will be subject to that third party’s privacy policy, rather than Holland House Privacy Notice. In this situation, Holland House shall not be responsible or have any control over that third party’s use of any personal data you provide to them.

 

Your Rights

If you have declared your consent regarding certain collecting, processing and use of your personal data you can withdraw this consent at any time with immediate effect.

Further, you have the right to object to the use of your personal data for the purposes of marketing.

Right to request access to your personal data

You have a right to request from us confirmation as to whether or not your personal data is being processed and, where that is the case, to request access to the personal data.

You have the right to request and receive a copy of any personal data we are processing. In the case of repeated requests however, we may charge a reasonable fee based on administrative costs.

In this case, we can no longer process your personal data.

Such rights to object may especially apply if Holland House collects and processes your personal data for the purposes of profiling.

Please note that this right to object may not exist if the processing of your personal data is deemed necessary to facilitate the creation of a contract between you and Holland House or to execute a contract already concluded.

Rights in connection with automated decision-making

With respect to automated individual decision-making, you have the right to

  • You also have a right to lodge a complaint with your local data protection supervisory authority.

Data Retention Periods

We retain personal data for as long as necessary to provide you with the services and products requested.

Once you have terminated your relationship with us, we will either destroy your personal data or anonymise it in line with the GDPR requirements ensuring that data can never again be identified.

There are some exceptions, where statutory retention requirements are in force for example for taxation or legal purposes.

Where you show interest in our products and services and allow us to send you marketing information, we may retain your contact details for a longer period of time.

We may also be obligated to retain your personal data after the termination of the contractual relationship if it is necessary to ensure compliance with applicable laws, or if we need to retain your personal data on the basis of establishing, exercising or defending a legal claim. However, this will be on a need to know basis. To this extent and as far as possible we will restrict any processing of your personal data to such limited purposes as required for the above and in any event, destroy personal data once any legal bases are fulfilled and terminated.

How can I control the cookie preferences?

Cancellation policy:

After booking, guests have 24 hours to cancel free of charge, thereafter we will charge a cancellation fee this being 10% of the total booking fee up to 30 days before the due date – 50% of the total booking fee if the cancellation is made within 30 days of the due date and 100% of the total booking fee if the cancellation is made within 14 days of the due date. 

If guests have a need to cancel due to unforeseen circumstances on their part, we anticipate that they will have suitable travel insurance in place. We are unable to offer any additional cancellation cover different to our cancellation policy as detailed above.

In the event of a cancellation within the 30 day period, if we do subsequently re sell the cancelled dates we will refund guest 80% of the value of the resold dates. 

Special event bookings are subject to a 20% cancellation fee within 60 days of the dates booked. This is in consideration of the fact that special events are subject to high demand well in advance of the event date with demand dropping off after early bookings have peaked. 

We urge all guests to take out travel insurance to cover unforeseen circumstances.

Booking:

We reserve the right to refuse any booking without explanation, provided we do so within 48 hours of a booking having been made.  Full refunds would be paid.

We reserve the right to cancel any booking at any time for reasons of negative impact on our establishment where we have good reason to believe that acceptance of a booking might harm our reputation or cause unreasonable disruption to our business. Full refunds would be given.

No booking is deemed to have been made until paid for in full. 

Hen and Stag parties.

Sorry, but we do not accept bookings for Hen or Stag parties. We do not permit parties of any type.

Dogs:

We have 3 pet-friendly rooms, our 1st-floor Deluxe Apartment, our 1st-floor Balcony room and our ground floor Garden Studio. Pets are not permitted in any of our other rooms.

We charge £30 per stay for 1 dog, £40 per stay for 2 dogs. We do not allow more than 2 dogs in any room.

Guests are asked to ensure that all flea treatments etc. are up to date.

Guests are requested to bring their own dog blankets/beds etc.

We have a strict policy that dogs must be kept off the furniture and beds. Dog hairs in bed sheets is a problem.

Sorry, but we do not allow dogs to be left unattended in rooms or apartments

Strictly no cats.

Arrivals and departures.

Normal check-in time is 3 pm until 8 pm. Later arrivals are subject to a late arrival charge of £15 but we do offer a free ‘let yourselves in’ option. Guest must provide us with a mobile phone number in order to access this option.

Normal check-out time is by 11 am. As we often have other guests arriving, we ask all guests to depart on or before this time.

Early arrivals – late departures:

These may be possible, depending on other guests arriving and departing – please ask – there may be a charge.

Bookings and payments:

All bookings must be paid for at the time of making the booking, or for bookings 2 months prior to the arrival date, we are happy to accept a non-refundable deposit.

Children:

Children under the age of 2 years – no charge. We can provide a cot and a highchair.

Children 2 – 12 years – we can provide a fold-away bed and bedding for £20 per stay.

Children between 12 – 16 years – As an option – we can provide a single mattress (on the floor) and bedding for £40 per stay.

Children over 16 must be allocated their own room.

Proof of age required.

Parking:

There is ample parking on the road outside our property. This is free around the clock and is totally unrestricted.

Noise:

We offer our guests a tranquil and relaxing environment and ask that all our guests maintain reasonable noise levels. We reserve the right to evict any guests who will not co-operate with our noise policy.

Privacy:

Once we have handed over your room key and for the full duration of your stay, we will not enter your room without your permission other than for an emergency i.e. fire, flood and similar.

Room Service.

We do not normally provide daily room service.  If this is required then this must be arranged with management and a fee agreed.

Linen and towel changes:

For long-stay guests, we provide a change of linen and towels every 7 days. For short-stay guests, if you need a change of linen or fresh towels, please ask.

Please avoid folding towels and placing them to dry on towel rails, these can cause them to smell musty – spread towels to dry properly.

Breakfast.

We provide a self-help continental-style breakfast in every room, where a guest has booked under our B&B stipulation that ‘continental style breakfast provided.’

Cooking facilities:

Our apartments and our Garden Studio have fitted kitchens – our double rooms (a room with a double bed or bigger) have their own fridges, toaster, kettle, microwave, crockery and cutlery.  [Exception – our ground floor Value Room does not have a microwave.]

Tea and Coffee:

All accommodation is provided with tea, coffee and fresh milk. Please ask for replenishments as and when required.

Evictions:

We reserve the right to evict guest for any behaviour we deem unruly or above acceptable noise levels
